The time is right to join HNTB!  We are looking for a Document Imaging Specialist II to join our team in Kansas City, MO.  This position will assist the Records Manager with firm wide Records initiatives, daily data entry, sorting, reviewing and organizing digital files for processing.

Job Summary

Responsible for supporting assigned procurement programs. Examples include, but are not limited to travel, records management, fleet management and office services. Responsibilities include supporting the program, vendor relations, processing invoices, adjustments, and reporting. This entry level procurement role performs basic level procurement duties.

Essential Responsibility

  • Supports the daily requirements of the procurement program.
  • Delivers high level customer service. Coordinates with internal customers and the procurement managers and supervisors to execute procurement activities.
  • Tracks orders, delivery dates and costs. Ensures orders adhere to supplier agreements and contracts. Reports noncompliance.    
  • Assists procurement manager and supervisor to: monitor and maintain all financial records to ensure budget and financial objectives are achieved; ensure program adheres to all HNTB policies and procedures; ensure enterprise approach and standards are implemented across the firm; maintain relationships with vendors and contractors; monitor and assess constantly changing client and local office needs and implement updates/changes as needed and appropriate; research and provide feedback to end users for products and services.
  • Reviews and resolves invoice discrepancies and accruals.
  • Supports the procurement of appropriate goods and services in a cost effective manner.
  • Performs other duties as assigned.

Additional Responsibilities

- Scan documents into the electronic document imaging system, and check the quality of images.
- Perform pre-defined data entry and coding values for each image, so it may later be searched and retrieved in the imaging system.
- Perform record requests daily using many formats- microfilm, microfiche, paper, digital records.
- Recommends process improvements to streamline scanning processes.
- Assist end users with workflow and scanning issues.
- Perform ongoing Training to employees as needed for new projects
- Assist Records Manager with firm wide Records initiatives such as Records retention and destruction.

Basic Qualification

High School Diploma/GED or equivalent
2 years related experience

Preferred Qualification/Skills

- Associates Degree plus 4 years of General Office experience or 6 years in lieu of degree.

General Work Conditions

Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
