The time is right to join HNTB Corporation!  HNTB is currently seeking a Sr. Document Control Analyst/Team Leader in our Indianapolis, Indiana office.

Job Summary

Provides leadership and expertise in researching and implementing document controls tools and best practices. Administers the document lifecycle for engineering and construction documents. Responsible for defining standards and workflows for document. Administers the collection, authorization, publication, storage and retrieval of documents. Manages document processes and systems to ensure control and availability. Defines normal standards and workflows for document management as well as administers the collection, authorizing, publication, storage and retrieval of documents. Provides training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel.

Essential Responsibility

  • Defines standards and workflows for document management as well as leads the collection, authorization, publication, storage and retrieval of documents.
  • Establishes (within corporate guidelines) the document controls strategy and systems to include but not be limited to the authoring, approval, publishing, version control and archiving of all project related engineering and construction documents and related business policies and procedures.
  • Manages document processes and systems to ensure control and availability of documentation to site personnel.
  • Reviews new and revised documentation for suitability and conformance to HNTB standards including record retention.
  • Performs and/or supports quality reviews and audits associated with document controls procedures.
  • Provides leadership, supervision and training to less experienced document control classifications.
  • Performs other duties as assigned.

Additional Responsibilities

- Candidate should be familiar with Web Based Project Management Systems, and have experience in the maintenance/or setup of e-Builder and familiar with Bentley Projectwise
- Has the ability to set up and manage the workflows of project documents and facilitate best practices
- May require familiarity with FTA processes in order to code and document files appropriately and be efficient with project systems
- Candidate must be able to provide weekly reporting to Project Manager and Project Controls manager on submittals, RFI’s, NCR’s, Change Orders, and project status for distribution and updates to executive team. 
- The majority of the candidates time will be dedicated to a single program, but other responsibilities will include:
- Sharing and distributing best practices to other projects on Web Based Project Management Systems
- Assist in setup and maintenance of other transportation projects document control system
- Report to a variety of project managers to assist in document control management systems

Basic Qualification

Bachelor's degree in Engineering, Architecture, Construction Management or Business
7 years related experience
In lieu of education, 11 years project controls and/or technical administrative support experience

Preferred Qualification/Skills

CDT (Construction Document Technician) or PMP (Project Management Professional)
Share Point familiarity and experience beneficial
FTA and Transit project experience
Ability to manage web based project management system on multiple projects in excess of 50 Million dollars
Experience on projects with the alternative contracting methods such as Public Private Partnerships, Design Build, and CMGC
Experience on projects in excess of 100 Million dollars
Experience working with a Heavy Civil Contractor or Construction company providing Document Controls

Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
