Overview

The time is right to join HNTB Corporation!  HNTB is currently seeking a Sr. Document Control Analyst.

Job Summary

Provides leadership and expertise in researching and implementing document controls tools and best practices. Administers the document lifecycle for engineering and construction documents. Responsible for defining standards and workflows for document. Administers the collection, authorization, publication, storage and retrieval of documents. Manages document processes and systems to ensure control and availability. Defines normal standards and workflows for document management as well as administers the collection, authorizing, publication, storage and retrieval of documents. Provides training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel.

Essential Responsibility

  • Defines standards and workflows for document management as well as leads the collection, authorization, publication, storage and retrieval of documents.
  • Establishes (within corporate guidelines) the document controls strategy and systems to include but not be limited to the authoring, approval, publishing, version control and archiving of all project related engineering and construction documents and related business policies and procedures.
  • Manages document processes and systems to ensure control and availability of documentation to site personnel.
  • Reviews new and revised documentation for suitability and conformance to HNTB standards including record retention.
  • Performs and/or supports quality reviews and audits associated with document controls procedures.
  • Provides leadership, supervision and training to less experienced document control classifications.
  • Performs other duties as assigned.

Additional Responsibilities

 
- Administer the document lifecycle (author, approve, publish, revise, retire, archive) engineering, construction documents and other business policies and procedures.
- Prepare electronic document templates.
- Scan documents, update procedures, and type Word documents as required.
- Maintains the master electronic project files in the project’s system of record.
- Prepare records for inactive storage according to the Records Retention Schedule; copy and scan documents as needed to perform distribution and storage duties.
- Review, understand, and implement client (owner) processes and procedures, including developing, implementing and adhering to detailed work instructions that combine procedures and system processes.
- Manages document processes and systems to ensure control and availability of documentation to site personnel.
- Review new and revised documentation for suitability and conformance to client and/or HNTB standards, including record retention.
- Support Quality Management in the performance of quality reviews and audits related to business process workflow, document storage, accessibility, and searchability of documents.
- Assist in providing training on documentation and record retention policies, records destruction, disaster recovery, procedures and instructions to site personnel.
- Maintains and enforces appropriate document security protocols and processes.
- Reporting on document control processes, including status and disposition of all documents.

Basic Qualification

Bachelor's degree in Engineering, Architecture, Construction Management or Business
7 years related experience
In lieu of education, 11 years project controls and/or technical administrative support experience

Preferred Qualification/Skills

- CDT (Construction Document Technician) or PMP (Project Management Professional)
- 7 year's experience in document control/document management as well as knowledge of overall configuration management practices. 
- Must be detail oriented.
- Proficient in Microsoft Office, including: Word, Excel, Outlook and PowerPoint.
- Working knowledge of SharePoint a major plus.
- Working knowledge of Primavera Contract Management a major plus
 

General Work Conditions

Office Environment: Work is generally performed in an office environment in which there is only minimal exposure to potentially unpleasant working conditions. Incumbent must have the ability to stand and sit frequently, and reach horizontally as well as vertically for overhead use.
